In the past the Referee Administrator had a very complex task of juggling referee's preferences, keeping track of their kids games, figuring out who was in town, what divisions they were willing to work, lines, center, endurance, phase of the moon, etc. It was a rather daunting task. Then, there were the never ending phone calls, begging for info, mailing out the scheduled just to have half the refs need to have it changed. Ugly... Enter the age of the web. . . All referees in our region can setup their preferences via a web page. If you keep your preferences up-to-date, then you have total control over what games you work. Here is a view of the Referee Preferences Screen. Weekend AvailabilityBy selecting "absent" you eliminate yourself from the scheduling for that weekend. If you are just unsure of your schedule on a weekend, please mark "on call". The Referee Scheduler can see you in the scheduling program, but you are flagged as on-call. He will contact you directly to confirm the time.Game AvailabilityThis is a generic setting, not pre-week. The program automatically keeps track of when your children are playing and will not allow the scheduler to schedule you on top of their games. What this is for is to allow you to select just morning games because you have to work in the afternoon, or afternoon games because you cannot get up in the morning. Set your max games to the maximum number of games you will work on a weekend. I would recommend 2 or 3 if possible.In the division section you have 3 choices:
When the games have been scheduled, the Referee Administrator will send you an email notifying you that the new schedule is up. You can access your schedule via the website. There are two displays you can request. Total Game Grid(View Example)Your children's games are shown in green and the games you are working are shown in red. You may want to take a copy of this page to the field with you in case someone else has a question on where they are refereeing or a parent needs info on where their child may be playing. Click on the field name to get a map to the field. Your Person Schedule(View Example)This a more personalized version of your day, only showing the games your kids are playing, green, and the games you have been scheduled to work, red. The real value of this display is the additional information available to you, team colors, coaches names and phone numbers, who is working with you and yes, home team. If the game is inter-regional we may not have data on the teams. In this example the first two games are vs. teams from other regions. Now that you have seen how the referee interacts with the website, would you like to see how the magic is handled by the referee administrator? Just think, you could be doing this job next year. . . The Game Grid(View Example)The example is a complete grid, and of course, it starts off empty. The games are highlighted with a color that denotes how many referee volunteers are on the two teams. Our region has a policy that teams with referee volunteers get priority on referees. We also try to schedule 3 man teams on all games in divisions U10 and up. This means we are often short refs in the lower divisions.
You simply select the game you wish to schedule. Game Scheduling(View Example)This looks overwhelming, but it is really not. The referees listed in the page are still available to work this game, have not reached their maximum number of games for the weekend, and their children are not playing in this game. If they are "on call" for this weekend, the referee name is purple. They will be scheduled last. The number to the right of the name indicates how many games they have agreed to work and the number of games they are currently scheduled for. Those with a blue background are the ones currently scheduled for this game. The Center/Lines checkboxes are highlighted in either pink or green indicating the referees preference for working this game, pink is OK, green is Yes!. If the ref has indicated No for this division his/her name will not appear, if he/she has agreed to work either lines or center then one or the other columns will not have a checkbox. In the example, Clay preference is to not work lines in this division, but he wants center. Whereas, Robin definitely doesn't want to center, but will work lines if you can't find anyone else. The other columns give information to the scheduler on where this person is working or watching other games. The system also knows how far it is between fields so it can help you choose a good candidate. |
